#25: Title: Exploring Destinations with Convention Bureaus: A Behind-the-Scenes Guide for Event Planners (Part 1)

One of the unique privileges of working in the Business Events Industry is getting invited by Convention Bureaus to explore destinations for potential future events. These trips are not just exciting—they’re essential. They offer you the chance to evaluate locations up close, understand the logistics involved, and envision how your clients might experience the place.

Over the years, I’ve been invited to destinations like Japan, Spain, and beyond—and I’ve learned that not every site visit is created equal. Sometimes, you have to say no to invitations if the destination doesn’t align with your client’s goals or your upcoming projects.

So how do you know when to say yes? Here are the top 3 factors I consider before accepting an invitation:

1. Safety First

Safety is non-negotiable. Whether it’s the political climate, emergency response systems, or even health protocols, I need to feel confident that attendees will be secure. A destination may be beautiful, but if it’s unpredictable, it’s a hard pass for most corporate clients.

2. Accessibility

Can delegates easily get there? Flight availability, visa requirements, and local transport options play a big role. I’ve learned the hard way that what looks good on paper can turn into a logistical nightmare if the routes are too complicated or costly.

3. Signature Experiences

Every destination needs a wow factor. I look for those cultural, culinary, or experiential highlights that make the trip unforgettable. Whether it’s dining at a mountaintop vineyard, chartering a scenic train, or attending a private ceremony, these moments create impact.

When a destination checks all three boxes—and aligns with the kinds of events my clients are planning—it becomes a solid contender.

This isn’t just about tourism. It’s about curating unforgettable experiences that your client can’t find on a brochure.
