#27: Juggling Back-to-Back Events Without Losing Your Grip

There’s nothing like that moment when you realise your next event starts… before your last one has even packed up. 😅

In an ideal world, every event would come with a few breathing days in between. A chance to reset, regroup, and reward yourself with a decent cup of coffee. But as Business Event Planners, we know that’s not always the case.

In reality? Events can overlap. Programs get confirmed last-minute. Or a client’s “one quick project” turns into a full production (been there!). And suddenly, you’re staring down two back-to-back events with barely a moment to breathe.

So how do you keep your cool — and your standards — when the schedule gets tight?

Here’s how I manage this (without losing my grip or my sense of humour):


1. Be Selective with What You Say Yes To

Let me tell you — saying “no” to an inquiry never gets easier. But early in my career, I learned the hard way: not every opportunity is the right fit.

For example, I don’t specialise in sports tournaments or roadshows. Could I do them? Sure. But my sweet spot is Business Events — meetings, incentives, and corporate gatherings that need strategy, logistics, and polish.

Now, before I accept any project, I ask:

  • Does this play to my strengths?
  • Do we realistically have the capacity?
  • Will we deliver excellence — not just “okay”?

If the answer isn’t a strong yes, I pass. My team’s energy and my reputation are worth protecting.


2. Delegate Like a Pro

When you’re running on multiple timelines, delegation isn’t a luxury — it’s a necessity. The key? Match tasks with the right people.

Ask yourself:

  • Who on your team thrives under pressure?
  • Who’s great with AV partners?
  • Who can manage a client dinner with a smile and a backup plan?

When I plan back-to-back events, I break the project down and assign clear roles. Everyone has their lane. That’s how we stay aligned — even when I’m flying in from one event while another’s setting up across the city.


3. Use Checklists, Schedules, and Master Docs (Even if You Hate Them)

You don’t need to love spreadsheets — but they need to love you. When things are moving fast, documentation is your lifeline.

Here’s how I structure it:

  • Master Program: One version that includes every detail from guest arrivals to mic check.
  • Partner Versions: We create specific breakdowns for our AV team, transport, venue, and hospitality partners.
  • Team Playbook: A simplified, internal version for my team that includes timelines, backups, and quick reference.

This system allows me to walk into a ballroom — or a crisis — and know everyone’s on the same page.


Final Thoughts

Back-to-back events aren’t always ideal — but they’re part of the game. The good news? With smart systems and strategic planning, you can make it look (almost) effortless.
