In my early years as a Business Events Planner, I said yes to everything.
Every venue invite. Every association mixer. Every industry event that promised “exposure.”
I thought I was being strategic. In truth? I was stretched thin, missing key deadlines, and attending more wine receptions than actually closing business.
Time management isn’t just about being busy — it’s about knowing what moves the needle.
Over time, I’ve learned how to work smarter, not harder. These days, I still attend trade shows, travel for corporate meetings, and show up when it counts — but I do it with intention. And I encourage my team (especially those new to the industry) to do the same.
If you’re just starting out or trying to regain balance, here are a few time-tested tips that keep me focused and in flow.
1. Prioritize What Actually Drives Results
Not all to-do lists are created equal.
I now group tasks into 3 buckets:
- Client-critical (has a direct impact on delivery or experience)
- Visibility-building (moves relationships or brand awareness forward)
- Admin/Backstage (still important — but batchable)
If I only complete the first bucket in a day — it’s still a good day.
2. Network with Intention (Not Guilt)
You don’t need to attend everything.
Early in my career, I tried. Now? I pick the events that align with my business goals, and I let my team take the rest.
If you’re new, rotate team members so everyone builds their own connections. That’s how we scale visibility without burning out.
3. Let Tech Do the Traveling
Zoom isn’t always a substitute for in-person, but it can save hours. When promoting a destination or sourcing venues, we start with a virtual showcase. If the client is serious, that’s when we plan the in-person site visit.
Efficiency doesn’t mean cold — it means clear.
4. Create Buffer Days
This one is non-negotiable. If we have a big event, I block time before and after to avoid back-to-back chaos. It protects my energy — and makes room for troubleshooting before it becomes a fire drill.
5. Boundaries Are the New Power Tool
I used to feel guilty saying no. Now I realize: protecting my time is protecting my client’s experience. When I’m not rushing, I’m more creative. More thoughtful. More present.
And that’s what makes the difference.
