Leveraging great partnership

# 23: The Power of Partnerships: Leveraging Vendors for Seamless Event Execution

Building strong relationships with vendors is at the heart of every successful event. As a Business Event Planner, I’ve seen how vital it is to work hand-in-hand with trusted partners to bring an event to life. It’s the collaboration and expertise of many talented people that make those memorable, seamless experiences possible.

Some of our vendor partnerships span over 20 years—nearly as long as my company’s been in business! They know our standards, our values, and our dedication to delivering excellence. And while we’re incredibly fortunate to have long-standing partnerships, there are times when we’ve had to shift partners to ensure alignment on goals and values. I remember one particular event where a local florist’s vision and pricing didn’t match what we were aiming for. In the end, we brought in a trusted florist who understood our client’s needs and vision. The client was thrilled with the results and personally thanked our florist for their exceptional work—proving the importance of knowing when to rely on seasoned, trusted vendors who truly “get it.”

Clients are often surprised by just how many people work behind the scenes to make an event successful. At a large-scale polo event we organized, over 125 team members, partners, and vendors came together to pull it off. From coordinating event sign-ins to managing the flow of every moving part, it was a monumental effort. The dedication and hard work of each partner played a crucial role, reminding me of the value in nurturing these partnerships over the years.

Keys to Building Strong Vendor Partnerships:

  1. Fair and Transparent Pricing
We value transparency and work towards mutually beneficial pricing structures, ensuring all parties feel respected and valued.
  2. Clear Communication
Setting clear expectations and requirements with each vendor ensures that every detail aligns with the vision of the event, avoiding last-minute surprises.
  3. Respect and Team Spirit
We treat our vendors as essential team members, recognizing the crucial role they play in the success of each event.
  4. Prompt Payment
Paying vendors promptly not only maintains goodwill but also builds trust and reliability. This approach especially helped us during the COVID-19 challenges, as our vendors appreciated the steady, reliable support.

Through consistent and genuine collaboration, these partnerships allow us to deliver events that clients love—and that’s what keeps both our clients and our vendors coming back, year after year.
